Getting Started

Set up your gym, step by step.

From creating your account to going live, here is everything it takes to get your gym up and running on BoulderBase. Most gyms are set up in well under an hour.

30 days free · full Pro access · no credit card required

1

Step 1

Create your owner account

Start on the gym registration page and enter your name, email, and a password. This becomes the owner account, with full control over your gym's settings, staff, and billing. We'll send a confirmation link to verify your email.

  • Name, email, and a secure password
  • Becomes the gym owner account
  • Already a climber? Log in first and the gym is added to your account
2

Step 2

Add your gym's details

Tell us the basics: your gym's name, its address, and the grading system your routes use. Pick your address from the suggestions so we can place you on the map and keep listings tidy. You can change the grading system and add photos, hours, and a description later.

  • Gym name and full address
  • Choose the grading system (you can change it later)
  • Pick the address from the dropdown so it maps correctly
3

Step 3

Your free trial starts

Every new gym starts on a 30 day free trial of Pro, with full access and no credit card required. Explore everything, set up your space, and add a payment method whenever you are ready. We will remind you before the trial ends.

  • 30 days of full Pro access
  • No credit card to begin
  • Add billing any time before the trial ends
4

Step 4

Meet your dashboard

Your dashboard is mission control for your gym. See your active climbs, walls, and team at a glance, keep an eye on what needs attention, and jump to any area from the tabs across the top: Studio, Walls, Climbs, Team, Billing, and more. New gyms also get a setup checklist that walks you through the remaining steps.

  • At-a-glance stats, recent activity, and top climbers
  • Quick actions for the most common tasks
  • Tabs for walls, climbs, team, billing, and analytics
5

Step 5

Add your walls

Open the Walls tab and add each climbing wall in your gym by name, for example Main Wall or Overhang Cave. Walls are the backbone of your gym: rotations and climbs are all organized by wall, so this is the foundation everything else builds on.

  • Name each wall in your gym
  • Rotations and climbs are grouped by wall
  • Rename, reorder, or remove walls any time
6

Step 6

Design your gym map

Use the Map Designer to draw a top-down map of your space: sketch your floor mats and wall outlines, assign each drawn wall to one of your walls, then drag and rotate the labels so climbers can find every wall at a glance.

  • Draw floor mats and wall outlines
  • Assign drawn walls to your wall list
  • Drag and rotate wall labels, then save the map

Step 7

Start a rotation

A rotation is a fresh set of climbs on a wall. From the Studio, click Start Rotation, choose the wall and a start date, and optionally add a name and photo. Starting a new rotation swaps in the new set on your map.

  • Pick the wall and a start date
  • Optional name and cover photo
  • Available on every plan, including Basic
Pro plan

Starting a new rotation archives the previous set without losing its history, so you always know what was up and when. Past sets are kept and never deleted.

8

Step 8

Add your climbs

With a wall and a rotation in place, add your climbs. Set the name, grade, color, and tags, then place each climb on your gym map so climbers can find it on the wall. The Climbs tab lets you search and filter every climb your gym has ever set.

  • Set name, grade, color, and tags
  • Place each climb on your map
  • Search and filter your full climb history
9

Step 9

Polish your public profile

From the Profile tab, upload your logo, write a short description, and add photos, hours, and social links. This is the gym page climbers see, so a little polish here goes a long way toward making your space feel like home.

  • Upload your logo and cover photos
  • Write a description and add opening hours
  • Link your website and social accounts

Detailed walkthrough coming soon.

10

Step 10

Invite your team

Running a gym is a team effort. From the Team tab, invite your route setters and co-owners by email so your whole crew can manage climbs and rotations together. Inviting staff is a Pro feature.

  • Invite route setters and co-owners by email
  • Each member gets the right level of access
  • Manage roles and remove members any time

Detailed walkthrough coming soon.

11

Step 11

Set up billing before the trial ends

When you are ready, head to the Billing tab to choose Basic or Pro and add a payment method. Do this any time during your 30 day trial to keep everything running without interruption when the trial ends.

  • Choose the Basic or Pro plan
  • Add a payment method securely
  • Manage invoices and your subscription from one place
